1. Introduction

Welcome to EasyVAClaims ("we," "us," or "our"). We are committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services (collectively, the "Services").

This policy applies to the information we collect on this website, in email and other electronic messages between you and this website, and through your interaction with our application. Please read this policy carefully. By accessing or using our Services, you agree to this Privacy Policy.

2. Information We Collect

A. Information You Provide to Us

Account Information: When you register for an account, we collect your name and email address.

Payment Information: When you make a purchase, our payment processor, Stripe, Inc., collects your payment card information. We do not store your full payment card details on our servers. We do store a reference to your Stripe customer account and payment method to facilitate future purchases and process refunds.

VA Claim Information: Through our guided wizard, we collect sensitive personal information necessary to prepare your VA claim documents. This may include:

  • Military service history (branch, dates of service, discharge status)
  • Medical conditions and related symptoms
  • Detailed personal accounts of events during your service (your "written testimony")
  • Information about your dependents
  • Contact information and other personal identifiers (address, phone number, Social Security Number as needed for VA forms)

Communications: If you contact us via email, we may keep a record of that correspondence.

B. Information We Collect Automatically

Usage Details: We automatically collect certain details of your access to and use of our Services, including traffic data, logs, referring/exit pages, and other communication data and the resources that you access and use on the Services.

Device Information: We may collect information about your computer or mobile device and internet connection, including the device's unique identifier, IP address, operating system, browser type, and time zone setting.

Cookies and Similar Technologies: We use cookies and similar tracking technologies to track activity on our Services and hold certain information. Cookies are files with a small amount of data which may include an anonymous unique identifier. You can instruct your browser to refuse all cookies or to indicate when a cookie is being sent. However, if you do not accept cookies, you may not be able to use some portions of our Services.

3. How We Use Your Information

We use information that we collect about you or that you provide to us, including any personal information, for the following purposes:

  • To present our Services and their contents to you.
  • To provide you with the document preparation services you request, including building your written testimony and VA forms.
  • To process your transactions and manage your orders.
  • To send you transactional emails, such as welcome emails, purchase confirmations, and account-related reminders.
  • To improve our website, products, and services.
  • To monitor the usage of our Services and detect, prevent, and address technical issues.
  • To comply with any court order, law, or legal process, including responding to any government or regulatory request.
  • For any other purpose with your consent.

4. How We Share Your Information

We do not sell your personal information. We may disclose personal information that we collect or you provide as described below:

To Service Providers: We share your information with third-party service providers that we use to support our business (see Section 5 below). These providers are bound by contractual obligations to keep personal information confidential and use it only for the purposes for which we disclose it to them.

For Legal Reasons: We may disclose your information to comply with the law, enforce our Terms of Service, or protect ours or others' rights, property, or safety.

With Your Consent: We may disclose your personal information for any other purpose with your consent.

5. Our Third-Party Service Providers

We use the following third-party services to provide our Services. Each of these providers has their own privacy policy governing their use of your information:

Supabase, Inc. — We use Supabase for our backend infrastructure, including database hosting, user authentication, and file storage. Your VA claim information is stored securely in our Supabase-hosted database. Supabase's privacy policy is available at supabase.com/privacy.

Stripe, Inc. — We use Stripe for payment processing. When you make a purchase, your payment card information is collected and processed directly by Stripe. We do not have access to your full card number. We store a reference to your Stripe customer ID and payment method to facilitate future transactions and process refunds. Stripe's privacy policy is available at stripe.com/privacy.

Resend (Plus Five Five, Inc.) — We use Resend to deliver transactional emails, such as your welcome email, purchase confirmations, and account-related reminders. Resend processes your email address and name for the purpose of delivering these messages. Resend's privacy policy is available at resend.com/legal/privacy-policy.

Anthropic, PBC — We use Anthropic's language models to help build your written testimony based on the information you provide in our wizard. The details you enter about your service and conditions are sent to Anthropic's API for processing and returned to you as a drafted statement. Anthropic acts as a data processor on our behalf. When processing data through their API on behalf of commercial customers, Anthropic does not use your inputs or outputs to train their models. 6. Data Retention

We retain your personal data for as long as your account is active or as needed to provide you with our Services. We will retain and use your information to the extent necessary to comply with our legal obligations, resolve disputes, and enforce our agreements. If you request deletion of your account, we will delete your personal data within 30 days, except where we are required by law to retain it.

7. Data Security

We have implemented measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure. Your information is stored on secure servers behind firewalls. All payment transactions are encrypted using SSL/TLS technology. All data transmitted between your browser and our servers is encrypted in transit, and data is encrypted at rest in our database.

The safety and security of your information also depends on you. Where we have given you (or where you have chosen) a password for access to certain parts of our Services, you are responsible for keeping this password confidential. Unfortunately, the transmission of information via the internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Services.

8. Your Data Protection Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Right to Access: You have the right to request copies of your personal data.
  • Right to Rectification: You have the right to request that we correct any information you believe is inaccurate or complete information you believe is incomplete.
  • Right to Erasure: You have the right to request that we delete your personal data, under certain conditions.
  • Right to Restrict Processing: You have the right to request that we restrict the processing of your personal data, under certain conditions.
  • Right to Data Portability: You have the right to request that we transfer the data we have collected to another organization, or directly to you, under certain conditions.
  • Right to Withdraw Consent: Where we rely on your consent to process your personal information, you have the right to withdraw that consent at any time.

9. California Privacy Rights (CCPA)

If you are a California resident, the California Consumer Privacy Act (CCPA) provides you with specific rights regarding your personal information:

Right to Know: You have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which we collected it, our business purpose for collecting it, and the categories of third parties with whom we share it.

Right to Delete: You have the right to request that we delete any personal information we have collected from you, subject to certain exceptions.

Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights.

We Do Not Sell Personal Information: We do not sell, rent, or trade your personal information to third parties for monetary or other valuable consideration.

10. Children's Privacy

Our Services are not intended for children under 18 years of age. We do not knowingly collect personal information from children under 18. If we learn we have collected personal information from a child under 18, we will promptly delete that information. 11. Changes to Our Privacy Policy

We may update our Privacy Policy from time to time. If we make material changes to how we treat our users' personal information, we will notify you by email to the email address specified in your account and/or through a prominent notice on our website. The date the privacy policy was last revised is identified at the top of this page. You are responsible for ensuring we have an up-to-date active and deliverable email address for you, and for periodically visiting this Privacy Policy to check for any changes.
